Responsibilities
Develop and maintain the document plans (Document of Record scorecard and the shared network drives document list) for Major Projects South projects. This outlines the location of internal and external documents required to support the projects e.g. regulatory design, procurement, construction, correspondence, maps, change orders, risk registers.
Provide support and guidance to the Project Managers on the status of the required documents as they pass through stage gates, audit stages and Regulatory reviews.
Maintain and provide Document of Record dashboard for submission with stage gate records.
Work closely with the Project Managers to coordinate with internal and external partners to obtain documents that require revision or are missing.
Uploading of project documents into the Sharepoint working area and X:drive project folders.
Attention to detail, ensuring quality, accuracy, and completeness of documentation deliverables.
Assist in the development of practices for internal document storage on local area network.
Represent the Major Projects South group on the PMO project documentation initiatives.
Qualifications
High school diploma.
Diploma in document management is an asset.
Minimum 3 years of related experience.
Related experience working in a Project Management group is required.
Advanced knowledge of SharePoint.
Intermediate level of competence in standard Microsoft software (Word, Excel, PowerPoint, Outlook and MS Projects).
Must be capable of scheduling and coordinating activities across a matrix organization.
Self starter able to work with minimal instruction.
