OVERVIEW/BASIC FUNCTION:
Responsible for administrative functions of Employee Accommodation. Assist Accommodation Manager in ensuring that all accommodation standards are met.
RESPONSIBILITIES:
· Administration of Accommodation office issues (including but not limited to update details in PayTRAX System, and other relevant documentations and reports)
· Overview daily cleaning of public areas, liaise with contractors and third party suppliers on housing issues or inquires, complaints
· Follow up on housing maintenance requests.
· Assist Supervisor and Manager in conducting regular accommodation inspections to ensure that all aspects of the accommodation meet hygiene and health and safety regulations.
· Help in escorting employees to/from Airport when required. Ensure all new arriving employees receive full orientation on accommodation rules and regulations and are aware of all policies and procedures.
· Manage stock and order supplies.
· Plan the availability of accommodation for employees, based on nationality, gender, position, and arrival date and coordinate the allocation of accommodation.
· Maintain a safe environment, keep the peace, and act on any actual or potential violations of policies or law. Provide feedback to Accommodation Manager on accommodation incidents.
· Together with Accommodation Manager coordinate employee engagement activities in accommodation. Prepare flyers and posters for such events.
· Design and maintain communication venues (i.e. bulletin boards, flyers, etc.)
· Attend designated meetings.
· All other duties as required. Coordinator may be involved in some practical or hands-on work, while primary role is mainly administrative.
QUALIFICATIONS:
· Experience: Minimum one year’ experience in a administrative role in a hotel/resort/accommodation
· Education: College degree.
· General Skills: Must have hands on management style; good communication skills; attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; customer service skills; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data; a good understanding of the industry.
· Technical Skills: Computer literate and familiarity with MS Office products.
· Language: Required to speak, read and write English, with fluency in other languages preferred.
· Physical Requirements: Must be able to exert physical effort in transporting _____ pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.
· Licenses & Certifications: Valid UAE Driving License is preferred.
