Help Desk Administrator is needed

The Role

- To administer the Help Desk System to deliver accurate and timely information in accordance with the business requirements.
- Preparing and issuing Reactive maintenance (RM) worksheets for the MPFM staff and sub contractors.
- To ensure all PPM, RM and AWO instructions are issued, received and logged in the timeframes required by the Business Delivery Model. 
- Receiving and dealing with, in a professional manner, all calls from tenants, landlords and other clients.
- Redirect problems to correct resource.
- Work closely with the other administrators to ensure property management data base is updated with all relevant information needed to ensure smooth running of property leasing / making ready and handover
- Provide accurate and timely reporting of all operational performance/finances data and report as required by Managing Director. Target = 100% accuracy of all documentation.
- Generate and track repair requests with established contracted vendors. Develop and maintain system for vendor follow-up, which guarantees urgency and quality of service requested.
- To develop and maintain a positive working relationship with landlords, tenants, & all other employees within the Artan Holding group of companies.
- To develop and maintain a positive working relationship with the maintenance team and approved suppliers / subcontractors to ensure an efficient service is delivered.
- To manage and check company customer service standards are fully complied with by all team members.
- Liaise with the finance department on all financial issues required to support Help Desk reports.
- Identify and escalate situations requiring urgent attention.
- Track and route problems and requests and document resolutions.

Requirements

- Associates degree / Diploma and 2 years of facilities management experience.
- knowledge and experience of customer service practices
- Effective written, verbal and listening communications skills.
