mpletion of an ongoing maintenance of the day-to-day administration work of the Human Resources Department and office. Responsible for the updating of the department paper work and records at all times. Assists in the smooth running of the department with the guidance of the Human Resources Manager, to improve the overall efficiency of the Human Resources operation. 

DUTIES/ RESPONSIBILITIES :-

  • Carry out administrative functions of the Human Resources Department to meet the daily and monthly needs of the operation, including local recruitment, police checks and referencing, maintain/updating staff database for leave, employment summary, issuing of boat passes, colleagues travel booking, follow up on colleague PP, WP/Visa and as required in accordance to position requirements and in line with AYADA practice
  • To greet and assist all colleagues in a friendly and courteous manner to participate with the team and management of the resorts colleague activities, such as Island cleaning, EOM/team member’s birthdays, etc.
  • To ensure complete discretion and privacy of employee matters and ensure that matters relating to all colleagues are communicated and handled in timely manner, in accordance with procedures, rules , regulations and government legislation.
  • Supportive hand on all colleagues activities/gatherings and accommodation setups
  • Follow up with work permit (new, renewals etc.) enabling to monitor the accuracy of expiry, and report to be sent to HRM on every month end
  • Follow up with all Leave forms, and make sure that it has been updated as per the required standard
  • Preparation of all written documents:
  • Letters internal and external, memorandums
  • Other correspondence including those of confidential nature as assigned by Human Resources Manager / Asst. HR & Training Manager
  • Pension updating an queries relating to the same
  • Arranging travel documents and tickets
  • Responsible for updating files and records of the departments.
  • Responsible for managing and allocating tasks for team village attendants, in absence of Acc/Activities office
  • Prepare Department report when and if needed as per HRM
  • Recruitment for local bodies (supporting hand for HR Executive)
  • New Colleague on-boarding orientation (Divehi translation)
  • Coordination in monthly Team Recreation Activities
  • Contact all Association in Maldives and others e.g.
  • Government Official
  • Hospitals
  • Police Office
  • Tourism Authority of Maldives
  • Immigration
  • Take minutes when and if needed:
  • Department meeting
  • Open talk and lunch with GM, (translation in Divehi, when and if needed)
  • Make general and purchase requisition for office
  • Other job were assigned by Human Resources Manager / Asst. HR & Training Manager
  • Must follow any policies or procedures which lay down by management.
