Key responsibilities

o Responsible for general office coordination and support of the sales & marketing team, including collection and distribution of all information concerning the hotel within all specified deadlines.

* To handle the annual request for proposal processes and follow the RFP procedure, including managing Lanyon, the co-ordination of rate loading and the update of all charts accordingly and liaise with respective Sales Manager and Hyatt Global Sales Office. 
* Liaise with relevant team members to ensure rate loading and client rates are available in the hotel reservations system. * File all correspondence on a daily basis and maintain the filing system. * Keep the “Sales” folder in the shared drive up to date for easy access to information. * Conducting site inspections with potential clients, competitor hotels and owners when necessary. * To handle all outgoing mail including franking and distribute other internal correspondence within the hotel. * To co-ordinate external monthly client newsletter. To liaise with Marketing Communications Executive. * To create all clients, marketing events, F&B marketing collateral and business related flyers as required. * Assistance with photo shoots and filming as directed by Marketing Communications Executive/F&B Sales & Marketing Executive * Completing updates of website as directed by DOSM and Marketing Communications Executive * Distribution of information and photos to journalists and Hyatt head office as directed by Marketing Communications Executive. * Management of media coverage folder. * To coordinate and update the internal communication to all staff members, i.e. internal staff board, journalist announcements, awards, monthly recaps, marketing events etc. as directed by Marketing Communications Executive * Work alongside F&B Sales & Marketing Executive to assist in updating all online F&B listings * To assist Marketing Communications Executive and F&B Sales & Marketing Executive on updating and providing potential stories and opportunities across all social media platforms * Keep the monthly stock take. Maintain stocks of the department’s stationery and sales collateral and giveaways to ensure that these do not run out. Prepare the necessary purchase requests or internal stock requisitions for re-ordering. o Support to DOSM when away from office with handling telephone and email enquiries, take messages and respond to requests promptly and efficiently. o Ensure that all correspondence is responded to on the same day as received or the following morning when receiving enquiries from overseas. * To conduct research, qualifying a potential account for the Sales Managers to call upon. * To complete telesales to potential new hotel, event & restaurant clients as directed by Associate Director of Sales. 
* To coordinate hotel familiarisation trips and client entertaining alongside Sales Managers with key projects as and when required. * Assisting DOSM, ADOS & Sales Managers with promotional material (brochures, fact sheets & gifts) when required. * To update weekly contact & accounts activity in Delphi. * To utilize Opera reservations system as the key user for the department. * Review arrivals lists, newspapers and business magazines for new business leads and market intelligence. * To send out quarterly production reports to key clients or monthly where specifically requested as per deadline. * Process reservations and special requests from clients, journalists and partners. * Coordinate agenda and minutes for internal sales & marketing meetings and liaise with DOSM. * To undertake other duties that may be required. * Assist with the organization and hosting of both sales & marketing related events. * Assist sales team in keeping up to date reports of competitor hotels. * Ensure daily show rooms are allocated and checked each morning for appointments, sign out the Sales Key each morning and return it in the evening. * Assist DOSM, ADOS and Sales Managers with sales trip preparations.
