Job Description
Job Purpose:
Support the Dean of the CoE by managing correspondence and communication related to the CoE and undertake tasks independently and proactively as assigned by the Dean from time to time.
Job Responsibilities:
- Communicating messages from the Dean’s office to all the targeted recipients.
- Maintaining confidentiality of information and disseminating information only on a need-to-know basis.
- Managing the diary and providing secretarial support to the Dean, to include, but not limited to:
- Arranging travel and accommodation
- Preparing presentations
- Drafting letters
- Compiling reports
- Arranging meetings for the Dean within the CoE and outside
- Creating agenda and minutes of meeting
- Following up for actions
- Attending telephonic and ‘in-person’ calls for the Dean and screening them before forwarding to the Dean.
- Review all incoming correspondence in all forms, electronic and others, before forwarding the same to the Dean.
- Proactively reminding and supporting the Dean in tasks prioritization for the Dean.
- Filing of documents and correspondence appropriately, in both the electronic and other forms
Requirements:
- Bachelors in any disciple
- Experience in diary management
- Proven office management skills in an executive setting
- Experience in budget management
- Experience in supporting committees
- Positive personality with sensitive and problem-solving attitude
- Using MS Word, Excel and PowerPoint
- Language: English & Arabic
